AI4Media has established the European AI Media Observatory to provide the public with access to valuable information about AI and its impact on the media sector. The Observatory's mission is to support the ongoing efforts of professionals from diverse disciplines who are committed to ensuring the responsible use of AI in the media sector. Additionally, the Observatory aims to contribute to the broader discussion and understanding of AI development and its societal, economic, and personal implications.
The research and content featured on the Observatory represent the views of the author(s) and do not necessarily reflect the position of AI4Media or the European Commission.
The Observatory may display third-party content or include hyperlinks to third-party websites or social media accounts. The Centre for Research & Technology - CERTH
The Section “Find an AI Media Expert” is an expert directory where you can easily search, find and contact a relevant expert within the field of media and AI - whether it be a technical, legal or social expert. Experts who wish to be featured on the Directory must fill in the application form. The Observatory welcomes experts no matter the field of expertise as long as it has relevance with AI and Media. Media is to be understood in broad terms. See consortium websites for further clarification.
Organisation responsible: Globaz S.A.
The data from content in the Observatory is hosted on Globaz S.A.’s servers. Access to LOBA’s servers requires username/password authentication. LOBA fully complies with the applicable national, European, and International framework, and the GDPR. LOBA will take the appropriate technical and organizational measures to keep your personal data safe from unauthorized access or theft as well as accidental loss, tampering or destruction. Access by personnel of LOBA or its third-party processors will only be on a need-to-know basis and subject to strict confidentiality obligations. The University of Amsterdam (UvA), located at Turfdraagsterpad 9, 1012 XT Amsterdam, Nederland is the data controller responsible for the processing of your personal data in connection with the AI4Media AI Media Observatory ("Observatory"). Globaz, S.A, acting as the processor, is responsible for running and hosting the Observatory on behalf of the University of Amsterdam. The editorial board members are merely recipients of the data, and their role is limited to the review and selection of content for the Observatory.
1.1 Your personal data is processed by the University of Amsterdam, in its capacity as the data controller, for the purposes outlined in this Privacy Policy. If you have any questions or concerns regarding the processing of your personal data, please contact us via email at observatory@ai4media.eu.
1.2 The University of Amsterdam reserves the right to modify, change, or amend this Privacy Policy at its own discretion and from time to time. Such modifications, changes, or amendments shall be communicated via the Observatory's website. 2.1 When you fill out the contact form on our Website or contact us via e-mail, telephone, or Social Media Channels, we collect:
- The basic identity information you provide us with, such as name, e-mail address, postal address, telephone number, the company you work for, your function;
- In addition, if you choose to be part of our expert repository you will be asked to fill in our expert panel sheet and provide the following information to be featured on the repository: a small and larger resume, your website link or a LinkedIn page, a picture, and contact email.
- Any other personal data you choose to provide us.
3.1 Your personal data are processed to follow-up on your emails and on the contact forms you submitted.
3.2 Your personal data are processed to obtain your consent form to become part of the expert repository on the Observatory and also to process the retrieval of consent form in case you no longer want to be part of this repository.
3.3 Your personal data to perform statistical analyses so that we may improve the content we produce and select for the Observatory.
4.1 The processing of your personal data for the purposes outlined in clauses 3.1 is necessary for the purpose of the legitimate interests of AI4Media PROJECT, which are:
- being able to appropriately respond to your requests for information and other requests;
- communicate your personal data to our partners in the AI4Media PROJECT to provide you with adequate information
- process your suggestions about content for the Observatory in order to improve the content we produce and select for the Observatory.
5.1 Only the personal data which are necessary to achieve the purposes listed under the purpose for processing will be processed.
5.2 Your personal data is processed only for as long as necessary for the purposes listed above or up until such time where you withdraw your consent for processing them. We will de-identify your personal data when they are no longer necessary for the purposes outlined in the purpose for processing, unless there is:
- an overriding interest of AI4Media Observatory or any other third party in keeping your personal data identifiable
- a legal or regulatory obligation or a judicial or administrative order that prevents AI4Media Observatory from de-identifying them.
5.3 The controller and processor will take the appropriate technical and organisational measures to keep your personal data safe from unauthorized access or theft as well as accidental loss, tampering or destruction. Access by staff of UvA or Globaz, S.A or its third-party processors will only be on a need-to-know basis and subject to strict confidentiality obligations. You understand, however, that safety and security are best efforts obligations only, which can never be guaranteed.
6.1 You have the right to request access to all personal data processed by the Observatory pertaining to you. We reserve the right to charge an administrative fee for multiple subsequent requests for access that are clearly submitted for causing nuisance or harm to the AI4Media Observatory.
6.2 You have the right to ask that any personal data pertaining to you that are inaccurate, are corrected free of charge. If a request for correction is submitted, such request shall be accompanied of proof of the flawed nature of the data for which correction is asked.
6.3 You have the right to withdraw at any time your earlier given consent for instance to be featured on our expert repository.
6.4 You have the right to request that personal data pertaining to you will be deleted if they are no longer required in light of the purposes which are outlined above or if you withdraw your consent for processing them. However, you need to keep in mind that a request for deletion will be evaluated against:
- overriding interests of AI4Media Observatory or any other third party
- legal or regulatory obligations or administrative or judicial orders which may contradict such deletion.
Instead of deletion you can also ask us to limit the processing of your personal data if and when (a) you contest the accuracy of that data, (b) the processing is illegitimate or (c) the data are no longer needed for the purposes which are outlined above, but you need them to defend yourself in judicial proceedings.
6.5 You have the right to oppose the processing of personal data if you are able to prove that there are serious and justified reasons connected with his particular circumstances that warrant such opposition. However, if the intended processing qualifies as direct marketing, you have the right to oppose such processing free of charge and without justification.
6.6 You have the right to receive from us in a structured, commonly used and machine-readable format all personal data you have provided to us.
6.7 If you wish to submit a request to exercise one or more of the rights listed above, you can send an e-mail to observatory@ai4media.eu for all data subject rights matters. An e-mail requesting to exercise a right shall not be construed as consent with the processing of your personal data beyond what is required for handling your request. Such a request should clearly state and specify which right you wish to exercise and the reasons for it if such is required. It should also be dated and signed, and accompanied by a digitally scanned copy of your valid identity card proving your identity.
AI4Media Observatory will promptly inform you of having received this request. If the request proves valid, AI4Media Observatory shall notify it as soon as reasonably possible and at the latest thirty (30) days after having received the request.
If you have any complaint regarding the processing of your personal data, you may always contact AI4Media PROJECT via the e-mail address mentioned in the first paragraph of this clause. If you remain unsatisfied with AI4Media PROJECT’s response, you are free to file a complaint with the competent data protection authority, i.e. the data protection authority of the country where you reside or the Dutch data protection authority (Autoriteit Persoonsgegevens, AP).
